For many clubs and studios, collecting membership fees is the least popular task of the month. Update the Excel list, click together a direct debit file in online banking, reconcile returns, write reminders. Yet the entire process can be automated with Odoo: from the mandate to the batch direct debit to booking the incoming payments. In this article we show how it works and what you need to watch out for legally.
What you need for SEPA direct debits
Before the first direct debit runs, three things must be in place. They are independent of the software, but you cannot do without them:
- Creditor identifier: You apply for it once with your national central bank (in Germany, the Deutsche Bundesbank). It identifies your club or studio with every collection.
- Direct debit agreement with your bank: Your bank has to enable you for the SEPA Core Direct Debit scheme.
- One mandate per member: The member authorises you in writing to collect the fee. Each mandate gets its own mandate reference, which is sent with every collection.
The key rules at a glance
Most direct debit problems arise not from the technology but from deadlines and communication. The German consumer advice centre (Verbraucherzentrale) summarises the rules well:
- Pre-notification: You must announce the amount and collection date at least 14 days in advance. A shorter period is allowed if agreed, for example in the fee regulations or on the invoice.
- Refunds: Members can return an authorised direct debit within 8 weeks without giving a reason. Without a valid mandate, it is even 13 months.
- Mandate reference and creditor ID appear on every bank statement. This lets members identify collections, and lets you match returns cleanly.
Practical tip: announce the fees for the whole year at once, for example with the annual invoice or in the fee regulations. Then you do not have to send a separate pre-notification every month.
How fee collection works in Odoo
In Odoo, member, mandate, invoice and payment are linked. The process looks like this:
Returned debits and dunning
Returns are annoying, but predictable. In Odoo you define dunning levels: for example a friendly reminder by email after 7 days, a second reminder including the bank fee after 21 days and then a task for the treasurer. The emails go out automatically. You always see which member owes how much, without maintaining a single Excel list.
Community or Enterprise?
In Odoo, SEPA direct debit including mandate management and batch payments is part of Enterprise accounting, as is automatic recurring billing via the Subscriptions app. If you use Odoo Community, you can handle direct debits with extensions from the Odoo Community Association (OCA). Your own system instead of dependency
Many club programs and studio platforms offer direct debits as part of their package. The catch: your member data, mandates and payment history sit with the provider. If you switch, you start from scratch. With Odoo it is your own system, the way we set it up for sports clubs and for studios . You decide where it runs and can export your data at any time. And because fees, classes, accounting and communication live in one software, you no longer have to copy data back and forth between three programs.
Typical mistakes when collecting fees
Most returned debits can be avoided. These are the mistakes we see most often in practice:
- Missing or outdated mandates: After a change of bank account, the old IBAN keeps being debited. The bank returns the debit and fees are incurred.
- No pre-notification: Members are surprised by the debit and object. That is their right, but it costs you time and fees.
- Wrong amounts: Reduction forgotten, family discount applied twice, department fee not adjusted. This happens quickly in Excel, and much less often in a system with fixed fee rules.
- Cancellations not maintained: Anyone who has cancelled must no longer be charged. If cancellations and direct debits are kept in different lists, this easily slips through.
- Collecting at the wrong time: Just after the start of the month, when rent and insurance have been debited, some accounts have little cover. Collecting mid-month can reduce returns.
The common denominator: member data, fees and direct debits drift apart. As soon as everything is in one system, a large share of these errors disappears by itself. A cancellation automatically ends the subscription, a new IBAN leads to a new mandate, and the fee amount follows fixed rules instead of manual work.
